Conference Coordinator– 2021 Face to Face Arts in Education Virtual Conference
NYC Arts in Education Roundtable


COMPENSATION: $1,000 ($20/hour; 50 hours)

DURATION: February 1, 2021 – May 31, 2021


EMPLOYMENT CLASSIFICATION: Part-Time Independent Contractor

Responsibilities of the Conference Coordinator include:

Conference Committee Support

  • Attending and supporting Conference Committee and subcommittee meetings
  • Ensuring that Committee members and staff communicate effectively with each presenter so that each session receives appropriate support

Administrative Oversight of Conference Logistics

  • Conferring with the presenters, staff, and other appropriate conference organizers regarding materials, supplies, and tech requirements
  • Organizing and overseeing the completion of a Presenter Survey for each session
  • Organizing and maintaining cheat sheets for each virtual conference session
  • Supporting the Presenter Orientation, both its preparation and at the training sessions on February 12, 2021
  • Collaborating on assembly and organization of all presenter and session materials prior to conference
  • Collaborating with Roundtable staff to set up and maintain digital conference app
  • Collaborating with Roundtable staff to set up and maintain digital conference spaces
  • Collaborating with Roundtable staff to ensure the conference reflects the mission of the Roundtable
  • Be present at Steering Committee and relevant subcommittee meetings from February through June 2021 (approximately 3-5 meetings)
  • Attending and supporting t all conference events from April 8-29, 2021
  • Performing other duties as reasonably instructed by the Executive Director, staff, or Conference Committee Chairs

Conference Content

  • Creating and maintaining resource folders for each conference session, including chat transcripts
  • Collaborate with Roundtable staff to share post-session resources with registrants

Post Conference

  • Attending conference debrief for Chairs and Steering Committee
  • Undertaking other reasonable tasks not specifically described herein in order to ensure the efficient, smooth functioning of all aspects of the conference
