About Our Organization

Roundabout Theatre Company’s Apprentice Program provides hands-on learning opportunities for aspiring arts professionals interested in theatre administration careers through full-time season-long apprenticeships.

  • APPRENTICESHIPS AT A GLANCE
    • Season-long Apprenticeships run from September to June.
    • Apprentices receive an hourly rate of $15.00 and are eligible for health benefits.
    • The Cost of Living Scholarship was created to help offset the cost of housing and transportation for apprentices.
    • Apprenticeships are available in the following administrative departments: Archives, Artistic, Audience Services, Development, Education, Finance, Human Resources, Marketing, Management, Sales & Analytics, and Special Events.     • Additional opportunities for Apprentices include weekly career-building seminars, participation in the inter-department mentorship program, networking opportunities across the arts administration industry, and an invitation to participate in Roundabout identity-based affinity groups, volunteer opportunities and events.

Job Position Summary

 

ARCHIVES APPRENTICE
With a 56-year history staging work Off and on Broadway across 4 unique stages, Roundabout’s production and institutional records are an important resource for theatre scholars and practitioners. The company’s Archives were initiated in 2008 and considerable work has been done to formalize and make discoverable our collections.

Archives Apprentice Responsibilities

  • Arrange and catalog performance and theatre records and physical objects using Roundabout’s collection management software, CollectiveAccess
  • Digitize analog records for preservation and access
  • Ingest digital records to CollectiveAccess
  • Process and catalogue costume and props collections
  • Update database records using content surveys
  • Create Finding Aids

What You Bring to the Archive Department

  • Demonstrated knowledge of current archival practices
  • Demonstrated understanding of archival arrangement and description
  • Knowledge of open-source cataloging tools, such as CollectiveAccess or ArchivesSpace
  • Familiarity with databases and computer literacy
  • A detail-oriented approach to work
  • Excellent communication skills, both written and verbal
  • An ability to work independently
  • An ability to lift up to 40 lbs. as the job requires the transport of materials from theatres and within the archives
  • The ability to work in temperature-controlled environment
  • Knowledge of theatre and musical theatre creation and practice

ARTISTIC APPRENTICE
Artistic Apprentice Responsibilities:

  • Read new play submissions and attend external staged readings of new work
  • Write script coverage
  • Assist with the preparation and execution of Roundabout’s readings and workshops
  • Assist in the maintenance of Roundabout’s literary database
  • Complete dramaturgical research for each production and write articles for Roundabout’s UPSTAGE Guides
  • Help with the planning and organization of Roundabout’s Opening Nights
  • Complete administrative tasks that support the day-to-day operations of the Artistic Department
  • Support the research, reading, and curation process for the Refocus Project and the execution of the annual Refocus Project Reading Series.

What You Bring to the Artistic Department:

  • An interest in pursuing a career in arts administration
  • A passion for supporting new play development processes
  • A desire to learn about the inner workings of an artistic department within a large nonprofit institution
  • Strong communication skills, with an emphasis on the areas of writing, research, phone, and organizational
  • Keen attention to detail and an instinct for taking initiative
  • The ability to work some weekday nights and weekends for events
  • The ability to work remotely with internet access; laptop would be provided if needed
  • The ability to lift 20 lbs., as the job requires the transport of materials to and from training and work sites
  • Previous administrative and/or leadership experience
  • Prior work experience in or academic study of the performing arts or related fields

AUDIENCE SERVICES APPRENTICE
Audience Services Apprentice Responsibilities

  • Assist with preparation for access programs such as sign-interpreted performances and relaxed performances
  • Assist with data entry, order fulfillment, and ticket mailings
  • Provide customer service to the Roundabout community via phone and email
  • Work with our Sales and Analytics Department to understand how customer service, data, and programming interact
  • Coordinate with apprentices from other departments on special events such as opening nights

What You Bring to the Audience Services Department

  • An interest in learning the business and art of customer service
  • Curiosity for how to increase meaningful accessibility in the arts
  • Familiarity with Microsoft Office Suite
  • Willingness to learn about CRMs and ticketing software, Roundabout uses Tessitura
  • Attention to detail
  • Ability to multitask

  • You will report to the Audience Services Managers

COMMUNITY PARTNERSHIPS EDUCATION APPRENTICE
Community Partnerships Education Apprentice Responsibilities:

  • Assist the Community Partnerships staff’s delivery of education and Community Partnership programs including Theatre Plus, Community Conversations, and External Partnerships.
  • Assist with pre- and post-show talk logistics for Theatre Plus programming.
  • Collect, organize, and disseminate program materials and work toward autonomous coordination of programs.
  • Transcribe and edit the Lecture Series and digital Theatre Talks.
  • Attend and take notes at Community Partner meetings.
  • Assist in coordinating documentation of programs through photography, video and written updates.
  • Contribute to engagement and development of new community partnerships.
  • Participate in internal professional development events & activities including monthly arts education trainings and biannual staff retreats.
  • Assist in the coordination of various on-site programs including student matinees, on-site workshops, and various education events.
  • Support department events and operations as assigned.

What You Bring to the Education Department:

  • A desire to learn more about civic engagement and community-driven relationships.
  • A self-starter attitude, with strong organizational skills.
  • An interest in developing theatre curriculum alongside various communities.
  • Knowledge and passion for all aspects of professional theatre.
  • Fluency in a language other than English, (i.e. Spanish, Mandarin, Arabic) is a plus.
  • Willingness to learn new software as it pertains to job responsibilities.
  • The ability to work collaboratively with multiple full time staff members and part time Teaching Artists.
  • The ability to navigate the NYC transit system.
  • Strong administrative and interpersonal skills, including strong time management skills, attention to detail, ability to take initiative, and work on multiple tasks/projects.
  • The ability to work some weekday nights and weekends for events.
  • The ability to transport materials to and from training and work sites.
  • Familiarity with Microsoft Office and Google Suite.

DEVELOPMENT APPRENTICE
Development Apprentice Responsibilities:

  • Research prospective individual, institutional, and corporate funders
  • Provide administrative support to the Development Department, including but not limited to: organizing mailings and drafting correspondence; maintaining accounts in Tessitura Database; maintaining Development Department records; providing gift entry support to the Development Operations team; and providing meeting support for internal and external groups.
  • Carry out special projects as needed, including direct assistance to the Development Associate

  • Willingness to complete all task as directed including learning new software as it pertains to job responsibilities

FINANCE APPRENTICE
Finance Apprentice Responsibilities:

  • Assist the Staff Accountant, Accounts Payable Associate, Payroll Managers, as well as the Finance Director
  • Learn and use applicable software possibly including, but not limited to, Financial Edge (Accounting software), Tessitura, Star (Ticketing software), and ADP
  • Create daily wraps (ticket sales reports) and projections for rental productions
  • Process incoming mail, invoices, payment requests and related receipts for Accounts Payable
  • Assist payroll with projects and the sorting/handing out of checks
  • Assist with the audit, pulling and organizing files as needed
  • Assist with the annual stale dated check project, including mail merging documents and reaching out to payees
  • Create and maintain files, spreadsheets, and various reports, including maintenance of digital files
  • Complete various financial projects and provide overall administrative support to the finance office

What You Bring to the Finance Department:

  • Willingness to learn new software as it pertains to job responsibilities
  • Organization and the ability to stay on top of deadlines
  • The ability to work on both collaborative and independent projects
  • Excellent people skills and the ability to follow up with staff members and vendors
  • The ability to multitask and juggle multiple projects at once
  • Advanced knowledge of excel and basic formulas, other Microsoft office skills a plus
  • The ability to work remotely with internet access; laptop would be provided if needed
  • Exposure to accounting and/or other finance-related subjects either through the pursuit of a degree or comparable experience

What to Expect:

  • 40-hour work week from September/October 2022 through June 2023; Overtime is rarely required. If overtime is worked you will be compensated and given advanced notice.
  • $15/hour, plus benefits

 

HUMAN RESOURCES APPRENTICE
Human Resources Apprentice Responsibilities:

  • Process new hires and terminations in ADP Workforce Now and other vendors
  • Managing voluntary identification/ EEO information in ADP
  • Prepare and review new hire and orientation paperwork
  • Perform various HR reporting
  • Run background checks on new administrative staff
  • HR file maintenance: update I9 database, keep employee files current, and organize files to be sent to storage
  • Coordinate with Company Managers to ensure employee paperwork is up to date
  • Organize staff committee meetings, attend and participate in these meetings
  • Maintain sexual harassment training completion list for both administrative and production staff
  • Work on various short and long-term HR projects
  • Complete Employment Verification
  • Assist with processing unemployment and worker’s compensation claims and assist with management of claims

What You Bring to the HR Department:

  • Personable; ability to work effectively with employees at all levels of the organization
  • Computer savvy – proficient in Microsoft Outlook, Excel, Word
  • Willingness to learn new software as it pertains to job responsibilities, including but not limited to ADP Workforce Now, LinkedIn Learning, and Microsoft Access
  • The ability to work autonomously and under pressure
  • Attention to detail, organization, and time management
  • The ability to maintain confidentiality
  • Opportunity for some overtime at various events
  • The ability to work remotely with internet access; laptop would be provided if needed
  • Experience providing administrative support and/or exposure to HR related subjects through schoolwork or comparable experience

What to Expect:

  • You will report to the Director of Human Resources and Human Resources Associate
  • 40-hour work week from Mid-September 2022 through May/June 2023; Overtime is rarely required. If overtime is worked, you will be compensated and given advanced notice.
  • $15/hour, plus benefits

 

MANAGEMENT APPRENTICE
Management Apprentice Responsibilities:

  • Maintaining artist contracts
  • Drafting correspondence with agents, unions, and other collaborators
  • Maintaining an extensive filing system
  • Filling house seat requests and managing Tony Voter requests
  • Completing special projects such as preparing research for various production and administration needs.
  • Providing support to the administration staff, general managers, company managers and various production and facility personnel

What You Bring to the Management Department:

  • An interest in theatrical management/arts administration are imperative
  • Willingness to learn new software as it pertains to job responsibilities
  • Experience with Microsoft Office
  • Strong phone and organizational skills
  • A self-starter attitude with the ability to multitask and a desire to learn
  • Meticulous attention to detail and time management skills
  • The ability to work some weekday nights and weekends for events
  • The ability to work remotely with internet access; laptop would be provided if needed

What to Expect:

  • You will report to the Associate General Manager and Manager of Administration and Labor Relations
  • 40-hour work week from September 2022 through June 2023; may include overtime for events (will be compensated and given advance notice)
  • $15/hour, plus benefits

 

MARKETING APPRENTICE
Marketing Apprentice Responsibilities:

  • Route advertising materials across departments and communicate regularly with external creative agencies
  • Coordinate strategic partnership outreach for show campaigns
  • Complete marketing and sales reporting
  • Represent Roundabout at promotional events (ex: BroadwayCon, Broadway Flea Market, etc. when applicable)
  • Plan and execute Hiptix events (young professionals program)
  • Prepare for and help to execute pre- and post-show Marketing events
  • Maintain press and advertising files
  • Support Digital Team by assisting with social media monitoring and website content updates
  • Additional projects as assigned

What You Bring to the Marketing Department:

  • A self-starter attitude with the ability to multitask and a desire to learn about marketing
  • Meticulous attention to detail and time management skills
  • Willingness to learn new software as it pertains to job responsibilities
  • Experience with Microsoft Excel a must, experience with Tessitura database, Google Suite, online email deployment programs, and the Adobe Creative Suites a plus
  • The ability to work some weekday nights and weekends for events
  • Prior work experience in marketing, communications, or events

ROUNDABOUT YOUTH ENSEMBLE EDUCATION APPRENTICE
RYE Education Apprentice Responsibilities:

  • Assist in the administration of Roundabout’s afterschool program: Roundabout Youth Ensemble (RYE)
  • Shadow Teaching Artists and work towards co-facilitation of workshops
  • Assist in the coordination and staffing of various on-site programs including student matinees, on-site workshops, and various education events.
  • Assist with administration and preparation of content for UPSTAGE Playgoer’s Guides.
  • Transcribe and edit interviews for the UPSTAGE Playgoer’s Guides
  • Assist with administration of internal and external professional development workshops
  • Prepare workshop materials as requested
  • Collect, organize, and summarize participant surveys for Roundabout Youth Ensemble and other events as assigned.
  • Document programs and events with photos and videos as assigned
  • Contribute to Education at Roundabout’s social media content
  • Participate in internal professional development events & activities including monthly arts education trainings and biannual staff retreats
  • Support general operations of the Education department, as needed

What You Bring to the Education Department:

  • A desire to learn more about youth-centered afterschool programming
  • An interest in developing theatre curriculum
  • An interest in facilitating theatrical skill building and experiences with young people aged 12-18
  • Willingness to learn new software as it pertains to job responsibilities
  • The ability to work collaboratively with multiple full time staff members and part time Teaching Artists
  • The ability to navigate the NYC transit system
  • The ability to work on two projects at once and prioritize tasks accordingly

SALES AND ANALYTICS APPRENTICE
Roundabout Theatre Company’s Sales and Analytics department serves as a centralized team, supporting the organization’s attendance and revenue goals with new ticketing technology, reporting solutions, and data analysis. The Sales and Analytics apprentice will perform work that will help us digitize and preserve our historical revenue records.

Sales & Analytics Apprentice Responsibilities

  • Research and collect current and historic data from various sources.
  • Conduct digital scanning of historic records as needed.
  • Audit and replicate historic record data for conversion to new digital record.
  • Coalesce and upload data from multiple sources to a web-based database for analysis.
  • Generate weekly reports on current market sales activity.
  • Provide support to daily and ongoing sales operations projects.

What you bring to the Sales and Analytics Department:

  • Ability to be focused and highly detail-oriented
  • Ability to work independently
  • Ability to follow written instructions and transcribe spoken instructions
  • Ability to lift up to 30lbs, as the job may require the transport of materials (accommodations can be made)
  • Familiarity with spreadsheet applications (e.g. Excel, Google Sheets) including working knowledge of computing and reference formulas
  • Familiarity with data analysis tools (e.g. Google Data Studio, Sisense, Tableau)
  • Familiarity with Tessitura or similar CRM

SCHOOL PROGRAMS EDUCATION APPRENTICE
School Programs Education Apprentice Responsibilities:

  • Assist the Teaching & Learning staff’s planning & implementation of education programs including school partnerships, classroom residencies, and standalone workshops for students and teachers. This includes administrative tasks such as taking notes at meetings with school partners and maintaining the calendar of school visits.
  • Assist in the coordination and staffing of various on-site programs including student matinees, on-site workshops, and various education events.
  • Shadow Teaching Artists in school residencies and work towards co-facilitation opportunities
  • Prepare workshop materials as requested
  • Liaise with school programs staff to establish and maintain a visual presence for engagement opportunities at partner schools (I.e. bulletin boards, flyers, show posters, etc.)
  • Document programs and events with photos and videos as assigned.
  • Contribute to Education at Roundabout’s social media content.
  • Participate in internal professional development events & activities including monthly arts education trainings and biannual staff retreats
  • Support general operations of the Education department, as needed

What You Bring to the Education Department:

  • A desire to learn more about the NYC Department of Education and its students, teachers, and administrators
  • An interest in developing theatre curriculum for a variety of subject areas
  • An interest in facilitating theatrical skill building and experiences with young people aged 12-18
  • Willingness to learn new software as it pertains to job responsibilities
  • The ability to work collaboratively with multiple full time staff members and part time Teaching Artists
  • The ability to navigate the NYC transit system

SPECIAL EVENTS APPRENTICE
Special Events Apprentice Responsibilities

  • Provide support to the Special Events team, including transporting necessary materials to and from event venues
  • Assist with the planning and coordination of all special events, including Gala fundraisers, opening night parties, donor dinners, institutional events, and play readings
  • Manage volunteers for opening nights and annual Gala fundraiser
  • Coordinate the online auction for the annual Gala fundraiser
  • Carry out special projects as needed, including direct assistance to the Special Events Manager

What you bring to the Special Events Department:

  • Willingness to complete all tasks as directed including learning new software as it pertains to job responsibilities
