About Our Organization

The New York City Arts in Education Roundtable is a service organization working to improve and advance arts education in NYC schools, communities, and beyond. Founded in 1992 with the goal of building and professionalizing the arts education field, we are a community of arts education practitioners that shares resources and information, provides professional development, and advocates for the needs of our constituents and the communities they serve. The Roundtable produces a major annual conference (Face to Face); monthly professional development programs; an online resource center; and other activities, in addition to ongoing advocacy and communications efforts to support the sustainability of the sector.

Job Position Summary

The Programs Associate is a new full-time position (40 hours a week) working hybrid with in-person hours required for program-related meetings, Roundtable events, board meetings, all staff days, etc. This role is primarily responsible for the rollout and administration of the Roundtable’s two mentorship programs in collaboration with the Programs Director, and will support with the curation and execution of other Roundtable year-round professional development programs.

A successful candidate is a detail-oriented self-starter with a knowledge of the arts education sector, particularly within New York City and New York State, and strong customer service skills for collaborating with a diverse set of stakeholders. This position will be tasked with working in collaboration with Roundtable staff to build out our new Early Career Professionals Mentorship Program (launching in Fall 2026) supporting early-career arts workers in NYC. The Programs Associate will also be responsible for coordinating the New York State Teaching Artist Mentorship Program and supporting other Roundtable programs in alignment with our mission and values in service to members of the arts education community.

Position Details

  • SCHEDULE/HOURS: Weekdays, 40-hour work week
  • DURATION: September 2026 – July 2027 (with possibility of extension)
  • START DATE: Early September 2026
  • REPORTS TO: Programs Director
  • BENEFITS:

Roles & Responsibilities

Responsibilities of the Programs Associate include:

NYS TEACHING ARTIST & EARLY CAREER PROFESSIONALS MENTORSHIP PROGRAMS (80%)

  • Coordinate and manage application processes for both programs, including building applications in Submittable, liaising with applicants, co-hosting information sessions with other Roundtable staff members, drafting website copy, facilitating selection process for mentors and mentees, organizing materials for review, and troubleshooting as needed.
  • Attend, lead, and support mentorship program-related brainstorming and meetings with staff and participants.
  • Liaise and oversee communications between mentees, mentors, program alumni, staff, and additional program partners, serving as the first point of contact for program participants. Communicate with participants to ensure that all accessibility needs are honored during the program.
  • Collaborate with the Executive Director and Operations Director to maintain and track mentee and mentor honorarium payments.
  • Track and manage participant attendance, engagement, and pre- and post-program assessment to support learning goals associated with the program and understand impact over time.
  • Coordinate and facilitate virtual and/or in-person mid-point check-ins, coffee dates, meetups, and other networking opportunities for program participants based on their expressed needs and interests.
  • Develop pathways for meaningful re-engagement with program alumni to support continued connection, networking, and support.
  • Draft press releases and final reports related to the mentorship programs in partnership with Operations Director.
  • Collaborate with Roundtable staff to ensure the mentorship programs reflect the mission, values, and ethos of the Roundtable while benefitting program participants.

GENERAL PROGRAMS SUPPORT (20%)

  • Provide administrative support planning and producing Roundtable programs, particularly the annual Face to Face Conference and the annual Day of Learning on Equity and Inclusion. This includes but is not limited to: 
    • Collaborating to brainstorm and curate programs relevant to the needs and interests of the field.
    • Assisting with event copy, material inventory and ordering, and communications to registrants, facilitators, and program partners.
    • Attending and participating in relevant committee meetings, including note-taking.
    • Supporting the collection and memorialization of program registration, participation, evaluation information, and feedback.
  • Provide on-site support during events, including but not limited to: Face to Face Conference, Day of Learning, Arts Education Job Fair, in-person fundraising events, advocacy rallies, professional development workshops, etc.
  • Performing other duties as reasonably instructed by the Programs Director and Executive Director.

 Preferred Qualifications: 

  • At least 1-3 years of experience working in the arts education field, ideally with teaching and administrative background
  • Excellent attention-to-detail, writing, verbal communication, copyediting, and all organizational skills
  • Strong problem-solving skills, along with an ability to analyze survey data and responses
  • Passion for and knowledge of NYC’s arts education and arts & culture ecosystems; knowledge of NY State ecosystem a plus
  • Ability to manage multiple projects simultaneously and prioritize tasks based on project timelines
  • Ability to facilitate 1:1 and large group discussions, both privately and in public-facing spaces
  • Demonstrated team player who works well with diverse groups of people and has strong interpersonal and customer service skills
  • Proven ability to work independently given the hybrid work environment and prioritize tasks in a fast-paced environment
  • Commitment to equity, access, inclusion, and social justice
  • Experience with Google’s G-Suite, especially Google Sheets; Google Classroom a plus

Physical Requirements

  • Prolonged sitting at a desk and working on a computer
  • Ability to lift and carry light boxes, furniture, and/or files, typically up to 20 pounds
