About Our Organization

Open Stage Project (OSP) is a New York City nonprofit dedicated to expanding access to careers behind the scenes in theater, television, and film. Founded in 2018, OSP works primarily with NYC public high school students, with a particular focus on young women and gender-expansive students who have been historically underrepresented in technical and production careers.

Through our three-part ACT program, students explore the many creative and technical careers that make productions possible. ACT 1 brings hands-on workshops into NYC public schools. ACT 2 is a yearlong after-school mentorship program that combines workshops, field trips, industry visits, professional mentorship, and hands-on projects. ACT 3 provides paid fellowship opportunities that help students gain real-world experience and build professional connections.

Job Position Summary

Open Stage Project is seeking a Part-Time Program Manager to coordinate the day-to-day operations and delivery of our student programs. The Program Manager works closely with the Executive Director, teaching artists, mentors, industry partners, schools, interns, volunteers, and the Events & Media Associate to ensure that students have well-organized, high-quality learning experiences.

The ideal candidate is highly organized, proactive, comfortable managing multiple responsibilities, and excited to work directly with high school students.

Roles & Responsibilities

Program Management & Student Support

  • Manage the day-to-day program operations for ACT 2 and ACT 3.
  • Maintain program schedules, calendars, timelines, and logistics.
  • Manage participant applications, interviews, and onboarding.
  • Track student attendance, participation, and outcomes for internal reporting and program milestones.
  • Communicate with students, families, schools, teaching artists, mentors, and program partners.
  • Liaise with NYC Department of Education teachers and work-based learning coordinators, program mentors, and organizational leadership to support student recruitment and retention.
  • Gather monthly student feedback and other program evaluations, analyze responses, and report recommendations to the Executive Director.
  • Proactively identify and facilitate learning opportunities for students as they arise, and flag challenges with proposed solutions.
  • Maintain program documentation needed for organizational reporting and funders.

Student Events & Learning Experiences

  • Plan and run student events, including after-school classes, workshops, studio tours, show visits, and Capstone projects.
  • Prepare and facilitate monthly Monday after-school workshops.
  • Coordinate field trips and guest speakers.
  • Purchase and transport supplies for program events, including snacks, construction materials, and other necessary materials.
  • Identify and coordinate with teaching artists, mentors, volunteers, and industry partners for events and program activities.
  • Support day-of event logistics and student needs.

Financial & Administrative Responsibilities

  • Track the organizational budget and actual program-related expenses.
  • Reconcile receipts and maintain organized financial and program expense records.
  • Track donations and maintain accurate donor records.
  • Send donor acknowledgment letters and receipts.
  • Coordinate with the bookkeeper as needed.

Collaboration

  • Work collaboratively with the Executive Director, teaching artists, interns, volunteers, and organizational partners.
  • Collaborate with the Events & Media Associate on communications, scheduling, documentation, and event support.Qualifications
  • Experience in youth programs, arts education, technical theater, or a related field, including direct work with high school students.
  • Strong organizational and project management skills, with the ability to juggle multiple deadlines and maintain attention to detail and follow-through.
  • Strong communication skills and comfort working independently, taking initiative, and problem-solving.
  • Commitment to equity and inclusive learning spaces.
  • Excitement about expanding access to behind-the-scenes careers in theater, television, and film.

Schedule & Compensation

  • 20 hours per week
  • $30/hour
  • Must be available for monthly Monday after-school classes in Midtown Manhattan.
  • Availability for occasional programming on school holidays.
  • Occasional evenings and weekends are required for program events.
  • Remaining hours are flexible and may be hybrid/remote depending on program needs.
