Organizational Overview:

Dancing Classrooms (DC) is a dance education provider to New York City area schools and communities, which cultivates essential life skills in young people through the joyful art and practice of social dance. Through standards-based, in-and-out-of-school residencies, we use the vocabulary of social and partner dance to cultivate essential social, emotional, cognitive and personal traits inherent in every child. Made famous by the acclaimed 2005 documentary “Mad Hot Ballroom”, Dancing Classrooms has been a leader in social dance education for over 25 years, partnering with hundreds of schools to deliver its Core Residency (DCNY) programs and served over 600,000 children globally since its founding.

Emerging from a time of crisis and isolation, we at Dancing Classrooms strongly believe that our vision of schools and communities where every child is connected, respected and able  to thrive is more important than ever. This is why we quickly pivoted to offering remote, hybrid, and socially distant dance learning opportunities which build essential social and emotional skills for young people, while remaining grounded in the elements of the renowned Dulaine Method of dance instruction.

Job Position Summary

Position Overview:

Reporting to the Senior Manager of Finance & Operations, the Operations Coordinator is a key player in the organization’s systems and administration, and the People Resource Center for DC: the go-to person for DC employees in need of support or information regarding Operations, HR and Payroll. Working in coordination with the ED, Deputy Director and Finance Manager, key roles include maintaining ongoing organization of company systems such as Google Drive and Calendar, tracking and processing of bi-weekly payroll for DC employees, and serving as the first point of contact for vendors, including IT, HR, insurance and payroll vendors. The Coordinator is a highly ethical, compassionate, and disciplined professional who is passionate about supporting the health and wellbeing of the organization and its employees.

The Operations Coordinator receives an annual salary ranging from $45,000 – $50,000, commensurate with experience and aligned with company-wide pay equity. Roles & Responsibilities

Requirements and Qualifications:

  • 2+ years of nonprofit or education administration, in particular operations, finance, and/or human resources/people culture
  • Demonstrated self-starter and proactive problem solver, able to elevate challenges and collaborate with leadership to develop solutions
  • Strong organization and project management skills, with ability to balance multiple priorities and make clear decisions 
  • Excellent written and verbal communication skills, interpersonal, and ethical conduct skills
  • Must be passionate about the mission and work of DC
  • Must be tech savvy and comfortable delivering high-quality customer service and communication through multiple channels
  • Experience in:
    • Microsoft Excel and Google Suite (mail, drive, docs, sheets, forms, calendars, etc.) a must 
    • Salesforce, Slack, mailchimp, Asana preferred
  • Experience working with contractors and/or vendors, particularly within a nonprofit or government agency, a plus
  • Demonstrated commitment to:

Experience in and/or willingness to develop expertise in the following areas:
    • Online HR and payroll softwares, Mailchimp, online video platforms (vimeo, youtube, tik tok, Instagram Live, etc.), Filemaker, Vimeo, social media
  • Must be comfortable working remotely 
  • Ability to travel (drive or public transportation) to storage facility, in-person meetings, and events around the NYC metro area as needed. 

Key Responsibilities include:

Operations:

  • In coordination with IT consultants, maintain key organizational systems including, but not limited to, Google Suite and Google Drive, VOIP phone system, and Cbiz HR and payroll portals
  • Serve as main point of contact for organizational vendors 
  • Generate and maintain reports related to insurance, benefits, payroll, and other administrative items as needed
  • Work with Senior Manager of Finance & Operations and department heads to keep and maintain accurate records on vendors including contracts, payment schedules, RFPs, and tracking of deliverables 
  • Maintain the organizational calendar 
  • Maintain company directory (aka contact list)
  • Maintain accurate inventory of company equipment and assets, including software licenses and contents of storage facility (must be capable of lifting objects that weight 15-25 pounds)
  • Represent DC as needed at community and DC special events, including but not limited to DC’s Annual Gala 
  • Support other projects as requested by Executive Director or Senior Manager for Finance & Operations

Payroll:

  • Working with Program Department to track residency pay for part-time Teaching Artists 
  • Serve as main point of contact with payroll provider (Cbiz) and liaison to employees about payroll matters
  • Oversee bi-weekly payroll approval process with Deputy and Executive Directors 

People Resources: 

  • Serve as main contact with health insurance, unemployment insurance, workers compensation and any other benefits providers engaged by the organization
  • Work within Cbiz HR software to process I-9, W-4, direct deposit and other onboarding, termination, and trainings paperwork
  • Support the recruitment of new employees by posting job ads and screening applications as needed
  • Coordinate with department heads to conduct new employee orientations, annual employee performance reviews,and exit interviews
  • Maintain organization’s HR files (digital and paper) in accordance with DCNYC’s Document Recovery and Retention Policy
  • Work within Cbiz HR software to maintain updates to human resources compliance and information — e.g. handbook, PTO tracking, distributing NYS and federal labor law 

Compensation:

  • The Operations Coordinator receives an annual salary ranging from $45,000 – $50,000, commensurate with experience and aligned with company-wide pay equity.
