Arts Horizons is one of the leading arts-in-education agencies serving New York, New Jersey, and the greater NYC metropolitan area. Our professional teaching artists offer a variety of fully customizable in-person, virtual, and hybrid arts programs including:  artist-in-residencies, live performances, professional development, and family workshops. Job Position Summary

The position of Program Coordinator will be full-time, exempt at 40.0 hours/week with benefits package. The Program Coordinator will provide clerical and administrative support to the New York Programs, New Jersey Programs, and Live Performances departments and, as necessary, to the Executive Director. Position will be primarily based out of our Englewood, NJ office with remote work options available. This position will involve some travel in the NYC metropolitan area and may require some evenings and/or weekends for planned special events.

Roles & Responsibilities

POSITION DUTIES

  • Assist program managers across departments with planning, developing, and implementing arts workshops and assemblies using parameters of budget, time, and partner goals/expectations
  • Communicate program details & logistics to teaching artists and partner administrators/staff
  • Conduct formal site visits in New York and New Jersey to formally document and evaluate ongoing programs
  • Manage a small portfolio of 3-5 schools in New York & New Jersey
  • Process and file all paperwork pertinent to program bookings including:
    • work orders
    • purchase orders
    • artist/vendor contracts
    • monthly artist invoices
    • online supply orders for artists & department
    • artist onboarding documents (Artist Interest, Artist Information, & W-9 Forms)
    • artist lesson plans & curriculum guides
  • Enter & update artist contracts & artist/vendor contact information in Microsoft Access
  • Maintain & update soft/hard copy program spreadsheets & databases including:
    • Programs Current Spreadsheets
    • AH Artist/Assembly Master List
    • AH Marketing Email Lists
  • Support grant-funded projects, program reports, fundraising & other development initiatives
  • Assist with social media, blog posts, & marketing outreach
  • Travel in Bronx, Brooklyn, Queens, Manhattan, Staten Island, and parts of NJ required.
  • Provide administrative assistance to Executive Director as necessary

QUALIFICATIONS

  • Bachelor’s degree
  • Background and/or interest in arts and arts education
  • Excellent organizational, time management, & written/oral communication skills
  • Strong interpersonal skills, resourcefulness, & adaptability
  • Detail-oriented & able to work flexibly & collaboratively across different departments
  • Proficiency in Microsoft Office & Adobe Acrobat
  • Skills in graphic design, video, and/or social media highly desirable
  • Training in Microsoft Access will be provided
