Job Position Summary

We are seeking a detail-oriented and experienced Finance and Administrative Director to join our dynamic team. This key role will oversee all financial operations and administrative functions to support our comprehensive music education programs, including Play to Learn instrumental instruction, Celebrate Music Series, NextGen Musician Program, Summer Music Lab and community partnerships across NYC’s most underserved neighborhoods.

The ideal candidate will be passionate about nonprofit arts education and committed to supporting our mission of making music accessible to all children regardless of their economic background.

Roles & Responsibilities

Financial Management

  • Maintain accurate financial records and oversee day-to-day accounting operations
  • Prepare monthly, quarterly, and annual financial statements and reports
  • Manage accounts payable, accounts receivable, and cash flow
  • Coordinate annual audit process and work with external auditors and accountants
  • Prepare and monitor organizational budget in collaboration with Executive Director
  • Process payroll and manage employee benefits administration
  • Ensure compliance with all federal, state, and local tax requirements including Form 990 preparation
  • Track and report on restricted and unrestricted funds, grants, and donor contributions
  • Maintain financial controls and implement best practices for nonprofit financial management

Grant and Compliance Management

  • Assist with grant reporting and compliance for foundation, corporate, and government funders and track grant deliverables, deadlines, and reporting requirements
  • Support Development staff with financial data for grant applications and donor reports
  • Ensure compliance with NYC Department of Education, NYC Department of Cultural Affairs, NY City Council, and NYSCA funding requirements

Administrative Operations

  • Oversee office operations, facilities management, and vendor relationships
  • Manage organizational insurance policies and legal compliance matters
  • Supervise administrative staff and interns as needed
  • Maintain personnel files, contracts, and HR documentation
  • Implement and maintain organizational policies and procedures
  • Manage IT systems, databases, and technology needs
  • Support program staff with administrative needs for school partnerships, community programs, and special events

Strategic Support

  • Provide financial analysis to support strategic planning and program development
  • Collaborate with Executive Director on organizational sustainability planning
  • Assist with special events, fundraising activities, and donor stewardship as needed

Required Qualifications

  • Bachelor’s degree in Accounting, Finance, Business Administration, or related field and minimum 3-5 years of nonprofit financial management experience
  • Strong knowledge of nonprofit accounting principles and GAAP
  • Experience with grant management and compliance reporting
  • Proficiency in QuickBooks or similar accounting software and advanced Excel skills and experience with database management
  • Knowledge of payroll processing and benefits administration
  • Excellent attention to detail and organizational skills with strong written and verbal communication abilities
  • Ability to work independently and manage multiple priorities in a fast-paced environment

Preferred Qualifications

  • Knowledge of NYC Department of Education and cultural funding requirements
  • Experience with board governance and nonprofit management
