About the New York City Arts in Education Roundtable: 

The New York City Arts in Education Roundtable is a service organization and a community of arts education practitioners that shares information, provides professional development, and communicates with the public to promote our work in schools and beyond. The Roundtable produces a major annual conference, Face to Face; monthly professional development programs; a destination website; and other activities, in addition to ongoing advocacy and communications efforts to improve and advance the state of arts education. 

Job Position Summary

COMPENSATION: $27/hr

HOURS: 1-3 hrs week of March 23; 4 hrs week of March 30; 30 hours week of April 6 (see specific dates and times below)

DURATION: Mid March – April 9, 2026

LOCATION: In-person at ART/NY + Shepard Hall, City College of New York, with some meeting hours taking place virtually

EMPLOYMENT CLASSIFICATION: Independent Contractor

Roles & Responsibilities

Responsibilities of the Registration Coordinator include:

On-Site Registration and Check-In Oversight

  • Oversee the check-in process for 400+ conference attendees at the in-person Face to Face conference on April 8 & 9, 2026 (April 8 from 7:00am-6:00pm; April 9 from 7:30am-7:00pm)
  • Manage rotating volunteers assigned to the registration/check-in area and delegate assignments at stations throughout each day
  • Greet attendees flagged as special guests and notify designated staff members upon their arrival
  • Provide support for attendees checking in, including troubleshooting attendees missing from registrant rosters and processing walk-up payments in the Roundtable’s Neon CRM platform
  • Monitor and replenish check-in supplies as needed
  • Provide updates to Roundtable staff as needed from the check-in area
  • Support strike/cleanup and return of all equipment and supplies to the appropriate parties at end of conference on April 9, 2026

Onboarding and Conference Preparation

    • Attend virtual onboarding sessions via Zoom with Programs Director to prepare for conference days
    • Attending an all-staff production schedule walk-through meeting (virtual on Zoom) to be scheduled based on team availability (week of March 23)
    • Supporting assembly, printing, packing, and load-in of all conference materials prior to conference at ART/NY on:
  • Thursday, April 2 from 1:00 – 5:00pm
  • Monday, April 6 from 11:00am – 3:00pm
  • Assist with conference load-in and setup on April 7, 2026 from 12:00 – 4:00pm on site at CCNY
  • Performing other duties as reasonably instructed by the Programs Director, staff, or Conference Committee Chairs
