Job Position Summary

BAX/Brooklyn Arts Exchange Education Programs Manager is a key member of the Education Department Team and is a full-time permanent position (40 hours per week) that reports directly to BAX’s Senior Director of Programs & Production. The Education Programs Manager supervises BAX’s Education Programs Associate as well as seasonal interns and/or community service staff. With Senior Director of Programs & Production, the Education Programs Manager also helps to annually hire, train, and supervise seasonal staff (a dozen plus) and teaching artists (approx. 25). This position works in collaboration with core BAX staff in the Operations, Marketing, Business, and Production departments.

Position Summary & Responsibilities 

BAX’s Education Manager provides key administrative, communications, and program management support to all of BAX Youth Education programs, including Monday-Friday after school and Saturday studio classes (ages 2-18) & School Pick Up programming as well as pre-professional Performance Workshop ensembles; two annual performance festivals; public school arts partnerships & residencies; and, School Breaks Programs (mid-winter break, spring break, and summer).

This role will be an excellent opportunity for someone who envisions themselves as a career administrator in the nonprofit performing arts and/or arts education sectors.

Salary: $55,000-$58,000; Non-Exempt, Based on 40 hours per week BAX offers a comprehensive benefits package including generous paid time off and medical health benefit contribution, invitation to participate in optional pre-tax employee only contribution 403b plan, TransitChek, and Flexible Spending Account (medical and dependent care) as well as perks such as access to complimentary or low-cost BAX classes, studio space, and performances as well as flexible scheduling.

This is a 40-hour per week job, which is largely in person during agreed-upon weekly business hours (typically 9:30-5:30PM, 10-6PM),  with at least one departmental weekend/evening event per month. Remote work is available on Fridays and otherwise discussed in advance with the supervisor. Flexibility required to attend evening and weekend performances, meetings, showings. These events will be in place of scheduled office hours (comp time will be provided).

SUCCESSFUL CANDIDATES WITH HAVE:

  • At least 2-3 years of professional experience as a programs manager, ideally  in arts nonprofits, performing arts, and/or educational setting;
  • Enthusiasm for youth performing arts education and experience/knowledge performing arts/theater/dance/tumbling/event production;
  • Flexible schedule and ability to work weekend evenings for performances or special events as needed;
  • Excellent interpersonal and communication skills, including a spirit of generosity and care towards youth, families, and co-workers;
  • Excellent writing skills;
  • Excellent attention to detail and organizational skills;
  • Ability to work independently and collaboratively, including ‘managing up’ as needed;
  • Ability to work well in fast-paced environment, troubleshoot, and stay calm under pressure;
  • Ability to prioritize competing projects with close attention to time-sensitive, often interdepartmental, deadlines;
  • Ability to anticipate and be responsive to needs;
  • Ease working collaboratively with supervisor and within a close staff community;
  • Deep alignment with BAX’s values of racial justice and cultural equity.

PREFERRED CANDIDATES WITH ALSO HAVE:

  • Experience supervising and coordinating with freelancers, early career interns, and teaching artists;
  • Experience fostering youth leadership and and peer mentorship opportunities;
  • Technical Experience with:
    • G Suite / Microsoft Suite (in particular Excel/Google Sheets)
    • CRM and online registration platforms such as Active
    • WordPress, Canva, Eventbrite, Vimeo, Zoom, Google Drive, and project management software like Asana a plus
    • Comfort in social media management and related efforts to increase platforms’ reach and assist the Marketing department as appropriate
  • Comfort stepping in to support and/or sub performing arts classes in dance, drama and/or tumbling;
  • Fluency in a language other than English.

Roles & Responsibilities

RESPONSIBILITIES INCLUDE (but are not limited to):

DEPARTMENTAL PLANNING & ADMINISTRATION (Year-Round)

  • With Senior Director of Programs & Production, vision,  plan, budget, and assess annual educational seasonal programs and calendars;
  • With Senior Director of Programs & Production, engage BAX’s anti-oppression and pro-inclusion mission and Teaching & Learning Core Values across all programming, hiring, training, and assessment models, and budgetary decisions;
  • Oversee payroll for teaching artist faculty and seasonal staff, including monthly approval of timesheets; oversee departmental petty cash;
  • With direction from Senior Director of Programs & Production and the support of Education Programs Associate, oversee department  equipment, consumable supplies, and track inventory;
  • Track annual demographics and numbers served across education programs;
  • Collaborate with BAX’s Marketing & Communications, Business, Production, and Operations Teams to support the infrastructure and success of BAX youth programs;
  • Collaborate with the Senior Director of Programs & Production to plan, facilitate, and assess Professional Development workshops and meetings for BAX faculty as well as sector-wide opportunities for collaboration among peer organizations, academic & research institutions, and NYC teaching artists

STUDIO CLASSES & SCHOOL PICK UP (September-June)

  • Develop class schedule and tuition rates in consultation with the Senior Director of Programs & Production and Senior Director of Finance & Operations;
  • Collaborate with Education Programs Associate to set-up class registrations (and trials) each term on BAX’s online platform, Active; track class registration, trials, faculty subs;
  • Serve as the primary point of contact to education studio staff, including Education Associate, Interns/Community Service Volunteers, Teaching Artists, and Front Desk Staff;
  • Help to promote registration with Marketing Department and through direct departmental communication to families;
  • Provide hands support to teachers and programs including occasionally substitute teaching and facilitation, if necessary ( “On call” when needed to support weekend classes and class concerts);
  • Collaborate with the Education Programs Associate to develop the annual School Pick Up (SPU) schedule, oversee communication with registered families, train and support SPU staff, and provide occasional facilitation and direct support to participating students.

PERFORMANCE WORKSHOPS (September-June)

  • Collaborate with Senior Director of Programs & Production and Performance Workshop directors on annual program goals, curriculum planning, student recruitment, and annual performances (from technical schedules, to tracking budget expenses, etc.);
  • Facilitate ongoing family and student communication, including annual invitations to returning and prospective students, family orientations, benchmark program and performance information;
  • Serve as primary liaison between Performance Workshop Directors and BAX’s Production & Marketing Teams to organize and communicate technical and marketing materials for annual performances.
  • Manage permission slips and coordination for special events (site specific work, off-site performance opportunities, photo-shoots, etc.)

FINANCIAL ASSISTANCE (Seasonal with launch of fee-based, in house programs)

  • With the support of the Education Programs Associate, facilitate BAX Education’s robust financial assistance program including:
    •  Tiered tuition rates for in house classes and school break programs;
    • Update and review annual Scholarship applications for studio classes programs including tracking requests, making offers, managing Family Agreements and welcome meetings, and setting up of payment plans, as needed.

SCHOOL BREAKS ARTS PROGRAMS (February Break, Spring Break, & Summer)

  • Collaborate with Senior Director of Programs & Production to plan annual school break programs, budget, and staffing;
  • Develop and communicate program tuition rates and policies;
  • Hire and help to train seasonal program staff in collaboration with other school breaks leadership staff and consultants;
  • Serve as primary liaison to School Breaks Staff leading up and during the programs;
  • Serve as primary liaison and provide ongoing communication to registered families and community partners, as needed;
  • Provide direct support during the program, as needed.

SCHOOL ARTS PARTNERSHIPS (September-June)

  • Help to organize and provide administrative support to select (approx. 3-5 annually) BAX Public School Arts Partnerships, including in-school and out of school residencies;
  • Serve as liaison between school representatives and teaching artists in select residencies;
  • Manage select residency budgets, calendars, and teaching artist assignments, including contracts, program communication, and assessment.

FESTIVALS & SPECIAL PERFORMANCE EVENTS (Seasonal, 6-10 per year)

  • With direction and support from Senior Director of Programs & Production, serve as staff lead for program planning and execution for Education special festivals and events  including:
    • Annual Fall Open House / Season launch event
    • Teen Artist Exchange/Conference (includes collaboration with partner performance groups managers)
    •  YouthWorks Program and Festival (with support from consulting staff and festival director)
    • In House Class Open Studios, Family Classes, and Student Concerts
    • Performance Workshop culminating showcases (in collaboration with Performance Workshop directors)

It is our intention to interview throughout late-September to early-October. Initial interviews will take place over Zoom for 30 minutes with the Senior Director of Programs & Production. Second-round candidates will be invited to meet in person with the Senior Director of Programs & Production and other Senior Leadership staff members. Finalists will be invited to meet the larger staff and observe key moments in BAX’s fall education programs. Our aim is for the position to begin full time in January 2024 with part-time hourly compensation for training taking place with outgoing Education Programs Manager during a period of November-December to afford necessary transitions between the incoming and outgoing staff.
