Job Position Summary
The Artist Programs Coordinator will work closely with the Senior Director of Programs and team in the delivery of a growing portfolio of production work at Firelight Media. This individual will be tasked with supporting funding and production initiatives to resource mid-career filmmakers of color. In particular, the Artist Programs Coordinator will support the PBS/Firelight William Greaves Production Fund, which develops mid-career filmmakers from diverse communities throughout the United States. This fund was designed to address the persistent structural challenges many filmmakers face after producing their first films. This Artist Programs Coordinator, in addition to supporting other aspects of work, will build capacity for the ongoing Firelight Media and American Masters ‘In the Making’ series, which follows emerging cultural icons on their journeys to becoming masters of their artistic disciplines.
The Artist Programs Coordinator will serve as one of three program coordinators that work across teams to support the broader work of the organization. The Coordinator must be able to work closely with all program staff and participants to promote an open, inclusive environment that emphasizes cooperation and teamwork. In addition, the Coordinator will be energetic and eager to discover and invent solutions to programmatic and administrative challenges, and will thrive in a small but growing organization. This person must be versatile, flexible, and highly organized. The Coordinator must be an excellent writer and researcher and must possess strong program coordination and communications skills. Personal alignment with the mission and goals of the organization is essential.
Roles & Responsibilities
PROGRAM SUPPORT
- Primarily responsible for programmatic support of PBS/Firelight William Greaves Production Fund and Firelight and American Masters ‘In the Making’ series:
- Schedule and organize logistics for programmatic activities, meetings, applications, and maintain and execute schedules and timelines.
- Support the PBS/Firelight programmatic application processes, including creating applications and forms, conducting outreach to prospective applicants, receiving nominations/referrals, and tracking applications that may be a better fit for other Firelight Media programs.
- Supporting the Senior Director of Artist Programs with artist cultivation, project review, and identifying projects for funding consideration.
- Assist with the timely and efficient delivery of programs, and distribution via PBS and other public media digital and broadcast platforms, journalism outlets, and other key distribution partners.
COMMUNICATION AND ADMINISTRATION
- Provide logistical and administrative support as needed cross-departmentally, including submitting invoices, processing honorariums, stipends, payment and reimbursement requests, and scheduling technological support. Partner closely with the Contracts and Grants Manager to ensure compliance on all contracts and grants.
- Develop calendars of key events in the independent film and public media field, including film festivals, forums, and conferences.
- Ensure smooth operations of orientation by collecting materials, including contracts, filling in templates for each film, gathering signatures, and delivering fully executed documents.
- Respond to and direct departmental general emails.
QUALIFICATIONS
- A deep commitment to the mission of Firelight Media, and a desire to be at an organization that disrupts current systems that are inequitable by lifting-up filmmakers of color and depicting stories on topics that are typically underrepresented in the mainstream media.
- Prior professional or educational experience in film, TV and/or digital series production and post-production, preferred.
- Familiarity with digital distribution platforms in commercial and public media, preferred.
- Have a passion for non-fiction storytelling and are interested in centering and amplifying filmmakers of color.
- Strong project management skills with a proactive and collaborative approach.
- Familiarity with Google Suite programs is required and familiarity with Salesforce and Asana is preferred.
- Comfortable taking the initiative to ask questions and ensure that projects are on track when engaging with internal and external stakeholders.
- Strong written and verbal communication skills that conveys needs and questions from various departments and partners including artists, finance, operations, legal, etc. Has the communication skills and interest to represent the organization at events and while communicating with filmmakers.
COMPENSATION AND BENEFITS
The salary range for this position is $55,000–$65,000 per year, depending on experience, plus a comprehensive benefits package.
