About Our Organization

Downtown Brooklyn Arts Alliance (DBAA) was founded in 2010 to connect Downtown Brooklyn cultural organizations to enable collaboration, share information, facilitate joint advocacy, and to discuss and address issues affecting artist communities and cultural organizations in Downtown Brooklyn.

Our membership cohort currently includes 60+ organizations ranging from the largest and oldest cultural organizations in the area, to the newly formed and recently transplanted to Brooklyn, spanning the visual, performing, literary and media arts. Our structure and activities are designed to be at once a forum for networking, communication, and support among arts and cultural organizations and a voice for the arts and culture in larger civic, urban planning, and community conversations.

DBAA’s membership area encompasses the heart of the Brooklyn Cultural District in Fort Greene, the Downtown Brooklyn Business District, and areas that are adjacent to these particularly dense hubs of activity. Members include every presenting arts venue situated in the Brooklyn Cultural District as well as smaller community-based groups, internationally known dance and theater companies, exhibition venues dedicated to visual art, craft, and history, organizations that offer arts education, studio/rehearsal space, and services to artists, among others.

Collectively, our members serve more than 5 million individuals annually, including 82,000 school-aged children who participate in educational programs, and generate more than $200 million annually in economic impact.

Job Position Summary

The Administrative Assistant is a new position charged with providing general administrative assistance for our growing organization. The role includes interacting with staff at Downtown Brooklyn Arts Alliance’s 60+ member organizations as well as external stakeholders, vendors, and program partners and providing general support for all organizational activities.

Roles & Responsibilities

Job Responsibilities include but are not limited to:

Scheduling

  • Assist in managing the Executive Director’s calendar and contacts, including scheduling meetings with the DBAA Board of Directors, committees, and external constituents.
  • Assist with scheduling, maintaining, and communicating the member events calendar.

Member Services and Events

  • Maintain member contact lists.
  • Respond to routine member inquiries and requests for information.
  • Manage attendance lists, set up, and follow up for all virtual events and meetings.
  • Coordinate with venues, vendors, speakers, and attendees for in-person events and meetings.
  • Assist with member surveys, including outreach and follow-up to collect information from members.

Communications

  • Monitor/respond to general email and phone inquiries.
  • Assist with drafting of event invites, newsletters, and other communications.
  • Update/Maintain general DBAA documents.
  • Perform basic website updates (member lists, event listings, and the like).

Other

  • Assist with research and information gathering for advocacy, fundraising, and other initiatives.
  • As a relatively young, iterative, and growing organization, administrative needs continue to evolve as programs change and new initiatives are introduced. Additional responsibilities will be defined as needed.
  • The position includes the opportunity to participate in DBAA-hosted trainings, networking events, and affinity groups designed to foster learning, peer support, and career growth.
