Disney Theatrical Productions currently seeks an enthusiastic, hard-working Coordinator to support the Production Department.  In this role, the Coordinator will be responsible for providing administrative and project support to the Director of Production Operations (DOPO), Director of Production Development (DOPD), Manager of Production Operations (MOPO), and the Production team.

This individual must be highly organized, able to multi-task efficiently and proactively coordinate the demanding work load of the Production team.

The ideal candidate will demonstrate poise, discretion and sound judgment along with a high level of maturity.

Responsibilites:

Coordinate Production shipping, including creation and tracking of documentation for international shipments
Coordinate shipping and receiving of office, warehouse and local deliveries, work with Operations Department and supervise Porter labor
Manage on-site rehearsal studio, including booking, set-up and support for internal rentals
Assist the DOPO with the bidding process for all shows:  create and coordinate bid documentation, schedule and set up bid sessions
Assist the DOPD with writing & reviewing documents with complex Excel formulas
Assist the MOPO with inventory and warehouse management and organization, including the implementation and administration of a new inventory system
Assist DOPO/MOPO with safety programs:  track document progress, format and edit documents and presentations
Assist DOPO/MOPO with training programs:  administer various training platforms, track assignment progress and communicate with managers
Manage paper and electronic file storage and organization; organize and execute the digitization of archival documents with part-time personnel
Assist with the development and implementation of internal systems and processes
Organize office space and work with the Operations Department on Production Office needs
Provide administrative support to the DOPO, DOPD and MOPO, including calendar management, phone coverage, expense reporting and travel
Vendor invoice processing and coding
Facilitate meetings, set up conference/videoconference calls; take and distribute meeting notes as requested

  • Qualifications: Candidates should have experience in theatrical production, specifically in stage management and/or production management with an interest in theatrical management (production management, general management). Proficiency in the Microsoft Office suite of applications is essential, specifically advanced knowledge of Excel.  Excellent oral/written communication skills are a must. The ideal candidate will be adept at understanding the nuances of supporting various team members, with strong interpersonal skills to work effectively with diverse styles and shifting priorities. Please note: this position can be physically demanding (running errands, occasional heavy lifting, etc.) and will require occasional evening/weekend work.

Familiarity with Power Point is a plus!
