Position Summary: This position will manage the organization’s events management system (EMS). Essential Duties and Responsibilities include the following. Other duties may be assigned. Manage and act as primary contact for institutional event calendar, used by all departments Proactively manages the events management calendar and meeting schedule/logistics for General Management Ensure calendar is current by resolving time conflicts and approving all events in calendar Act as liaison between administrators of all departments to ensure accuracy and consistency throughout the calendar Provide front-end and back-end support for the events management database Back-up with scheduling and confirming event spaces, back of house details, and ensuring estimates are entered Monitor and maintain system health and security Create accounts for all users and assign security levels Prepares users by conducting training; providing information; resolving problems. Generates reports, responds to questions, provides assistance and makes routine interpretation of policies and procedures, or directs inquires to appropriate staff as it relates to the events management system Supports database functions by designing and coding utilization. Proactively brings in appropriate staff to confirm and clarify event details Maintains quality service by establishing and enforcing institutional procedures Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; benchmarking state-of-the-art practices Contributes to team effort by accomplishing related results as needed. Provides administrative support for GM as directed

A.) from four-year college or university or equivalent experience Proficiency in Microsoft Office Event Management software experience is helpful (ArtsVision experience is a plus!) Competency: Demonstrated ability to be well organized, and a self-starter Ability to work independently and within a team, as well as various departments Ability to multi-task, set work priorities, track projects and meet deadlines Strong attention to detail Ability to work in a fast pace environment Ability to work well under pressure.
